SERVICE CHARGES & TAXES
A taxable service charge of 24% will be added to
all food and beverage pricing and 10.9% tax (unless otherwise specified). These charges are above and beyond any food and beverage minimums. Taxes and fees subject to change.
FINAL GUARANTEE
Final attendance for all group events must be received no later than seven (7) days prior to your function. This number will be considered your guarantee, not subject to reduction, and charges will be made accordingly. If we have not received a guarantee by the due date, the approximated number of attendance as stated in this contract or signed Banquet Event Order will be used as your guarantee and you will be billed at this number or the actual number of guests served, whichever is greater.
ROOM RENTAL FEES
Room rental rates include use of hotel’s existing inventory of tables, chairs, standard linens, dinnerware, flatware & glassware. Additional setup items or upgraded linens may be arranged through the Hotel (if available) at an additional fee.
MENU SEASONALITY
Due to seasonality of menu items & supply chain challenges certain menu components may not be available. Hotel will notify clients during BEO process & provide suggested alternative.
MENU PRICING
Because food and beverage prices fluctuate in accordance with market conditions, menu prices for planned food and beverage functions will be established not earlier than six (6) months prior to the event. We will be prepared to serve 3% over your guaranteed attendance.
FUNCTION SPACE
Function space is assigned based on the size and setup requirements of your group at the time of booking. Changes in the size and/or set up will be accommodated based on the availability of space. Room assignments may be subject to change without prior notification. Downward adjustments in attendance in excess of 20% of the original estimate may result in a change of room assignment, but such change will not be done so without first consulting with you.
SETUP CHANGES
Changes in room arrangements within forty-eight (48) hours will be subject to additional labor charges. Furthermore, it is required that your function adheres to the time slots allotted as other groups may be utilizing the space at a later time on the same day. Extension of function space before or after allotted time will be subject to availability and charged an additional per hour rate for time of use.
AUDIO / VISUAL
Limited audio visual equipment & setup items are available through the hotel at a la carte pricing. Group also has the option to provide and operate their own equipment if they choose, at no additional cost from Hotel. Audio-Visual Equipment canceled within twenty-four (24) hours will be charged at the full rental amount. All Audio Visual prices quoted are subject to current state tax of 10.9% and service charge of 24%. Taxes and fees subject
OUTSIDE FOOD & BEVERAGE
All food and beverage consumed in function spaces must be purchased through Hotel. Exception to this policy – wedding cakes and/or cupcakes or ornate dessert displays that are brought into the venue and displayed by licensed, outside vendors are permitted.
ALCOHOLIC BEVERAGES
Alcoholic Beverage sales are governed by the Colorado Liquor Board. The state liquor laws of Colorado do not recognize a corkage policy. Therefore, all alcoholic beverages consumed within the boundaries of our stated issued licenses must be purchased through Hotel. We reserve the right to require proper identification of age for anyone desiring alcoholic beverage service.
DIETARY RESTRICTIONS
We are happy to describe in detail how each meal is prepared, the exact ingredients and will help in planning meals for your special dietary concerns. We ask that dietary restrictions are communicated in advance of the event date in order to properly accommodate the needs of your guests.
DECORATIONS & DISPLAYS
Decorations are subject to approval by the Hotel. Items may not be attached to any wall, floor, handrail, window or ceiling with nails, staples, tape or any other material so that damage to fixtures and furnishings may be prevented. All decorations and personal property must be removed at the conclusion of the event unless otherwise authorized by the Hotel. A cleaning fee will be assessed for items left behind.
Additionally, flower petals, leaves, tape and glue are very difficult to clean and/or remove. Use of these items may result in additional cleaning fees. Use of fog machines, pyrotechnics, rice, confetti or bird seed are not permitted within Hotel function spaces. Use of sparklers requires removal of all debris by client at the end of the event.
CONTINGENCY SPACE
Contingency space is subject to availability and at the discretion of Hotel. The decision to relocate the event will be made by client and Hotel a minimum of 5 hours prior to event start time. Once the event location is finalized, it cannot be changed. However, the Hotel can make the decision to change venue location in the event of severe weather.
